PortaVia is a secure travel document management platform used to plan trips and look after travel documents on behalf of travel customers. PortaVia is the brand name for the service; Vevezo (Pty) Ltd is the legal entity that operates it and is responsible for your data.

• Trip and itinerary data you create or that staff create on your behalf
• Travel document details including passport numbers, visa information, and expiry dates
• Documents you upload, including scanned identification, travel permits, and supporting files

Why We Store This Data

We store your information solely to provide travel consulting and document management services. This includes organizing your travel plans, tracking document expiry, coordinating with travel suppliers, and ensuring compliance with travel requirements.

Who Can Access Your Data

Your data is accessible only to authenticated staff members of Vevezo (Pty) Ltd. We do not sell, share, or disclose your information to third parties. The only exception is that we may share information with travel suppliers (airlines, hotels, visa services) strictly as needed to provide the services you've requested.

Where Your Data Is Hosted

PortaVia is privately hosted on servers located in South Africa. Your data remains in South Africa and is not transferred to other countries.

Email Delivery

Transactional emails from PortaVia (confirmations, reminders, document updates) are sent through Brevo, a managed email relay service. This ensures reliable delivery to your inbox. Brevo does not retain copies of your email content and acts only as a delivery service.

Data Retention and Removal

PortaVia is operated in compliance with the Protection of Personal Information Act (POPIA), South Africa's privacy law. You have the right to request access to, review of, or deletion of your personal information. To exercise these rights, please contact us using our contact form. We will respond to all data subject requests within the timeframe required by POPIA.
